What WhatsApp follow-up message should I send after a quotation?

Send three short messages: a check-in on day two, a useful answer to a likely doubt on day five, and a polite close-or-pause on day ten. Stop the moment the buyer replies. Each message should add something, such as a delivery date or a sample, rather than only asking whether they decided.

Who asks this: A sales person or owner at an Indian business who sends quotations on WhatsApp or email and then hears nothing, and who is not sure how often to follow up without sounding pushy.

The steps

  1. 1. Note the quote date and how long it holds

Write the date the quotation was sent and the date until which the offer stands, in the same sheet as the lead. The owner of this step is the sales person who sent the quote. Every follow-up uses these two dates, so the message is never vague about timing.

  2. 2. Day two: a light check-in

Send a short message that confirms the quotation reached them and offers to answer questions. Use their name and the product. Do not ask whether they have decided. A line such as asking whether the sizes and delivery town look right gives them an easy reply.

  3. 3. Day five: answer the likely doubt

Think about what a buyer in your line usually worries about: the delivery time, the payment terms, a sample, or a comparison with another supplier. Send one useful fact, such as a delivery date or a photo, and nothing else. This is the message that most often restarts the conversation.

  4. 4. Day ten: close or pause kindly

Send a polite note that the offer stands until its end date and that you will keep the order slot if they wish. Ask whether they want to go ahead, change something or pause. Giving them a clear way out often brings a reply that a third reminder would not.

  5. 5. Remember who really decides

In many Indian businesses the person chatting with you is not the one who approves the purchase. Ask who else is involved and offer a short summary they can forward to the partner or the accountant. Write the name in the sheet.

  6. 6. Stop when they reply, and record the result

As soon as the buyer answers, stop the sequence and talk to them as a person. Record the outcome in the sheet: won, lost with a reason, or paused with a date. After a month the reasons show you what to fix in the quotation itself.

A worked example

illustrative

A furniture workshop in Jaipur sends a quotation for twelve office chairs on a Monday, valid for ten days. On Wednesday the sales person sends a short check-in. On Saturday she sends one photograph of the finished sample chair and the delivery date if the order is confirmed that week. The buyer replies on Sunday that his partner is travelling and asks for the quotation as a one-page PDF to forward. On the following Friday the sales person sends the closing note about the offer end date, and the order is confirmed on Monday. The sheet shows the three sends, the reply after the second, and the reason noted: partner approval.

What goes wrong

  • Every message only says 'any update?', so the buyer feels pressed and stops answering.
  • The follow-up goes to the chat contact, but the decision belongs to someone else.
  • The sequence continues after the buyer has replied, which feels careless.
  • The quotation validity date is never mentioned, so there is no natural reason to answer.
  • Messages are sent late at night or in a copied tone that does not match the business.
  • Lost quotations are never reviewed, so the same objection costs the same orders again.

How Demystify OS helps

  • WhatsAppProvisioned on request

WhatsApp is connected on request, so a follow-up routine can use the same chat where your quotations already go.

  • Mysty WorkersEarly access

Mysty Workers can be set up with you to record the quote date, draft the day-two, day-five and day-ten messages in your tone and hold them for your approval. A quotation follow-up routine is not yet a standard catalogue entry.

  • Weekly summaryEarly access

A weekly summary gives the owner one short read of what moved and what is stuck, which is where quotations waiting for an answer can be listed.

What it does not do. Demystify OS does not send a message you have not approved, chase a buyer after they reply, or promise a discount; a person decides every price and every exception.

Questions people ask

How many follow-ups after a quotation are enough?

Three is a good limit for most small businesses: day two, day five and day ten. Each one should add something useful. If the buyer has not answered after the third, pause the lead and set a date to check again in a month.

Should I follow up by call or by WhatsApp?

Use the channel the buyer used to ask for the quote. If they wrote on WhatsApp, follow up there. A call is worth making for a large order, ideally after the day-five message so the buyer already has your facts.

What do I say if the buyer asks for a discount?

Do not decide in the chat. Say you will check and answer by a set time, then take it to the owner with the order size and the margin. A clear, quick answer is better than an immediate small discount.

When should I stop following up?

Stop when the buyer says no, when the offer end date has passed and they have not answered the closing note, or when they ask you to stop. Respect an explicit request at once and record it so nobody writes again.

Can I use the same message for every customer?

Keep a template for the structure, but change the name, the product and one fact for each buyer. A message that could have gone to anyone is easy to ignore, while one specific line shows you remember the order.
